Accommodation is provided in properties of a standard and category as specified in the itinerary. All rooms are based on two persons sharing a double or twin room unless otherwise stated. Single occupancy is available at an additional supplement.
While every effort is made to confirm accommodation at the properties listed, Avadan Safaris Ltd reserves the right to substitute with alternative properties of similar or higher standard in the event of unavailability or operational necessity, without prior notice.
Room configurations (double/twin) are subject to availability at the time of check-in and cannot be guaranteed.
Transport is provided using safari minibuses, 4×4 safari vans, 4×4 Land Cruisers, cars, or coaches depending on the itinerary, route conditions, and number of participants.
All safaris are conducted with professional English-speaking driver-guides. Requests for guides in other languages are subject to availability and may attract additional costs.
Optional excursions are not included in the base package unless expressly stated. These may be pre-booked or arranged locally, subject to availability.
All pre-booked optional excursions are subject to a minimum 10% cancellation fee, and additional supplier-specific cancellation terms may apply.
Avadan Safaris Ltd acts solely as an agent for independent suppliers providing accommodation, transportation, and other travel-related services.
The company shall not be liable for any injury, illness, loss, damage, delay, or inconvenience arising directly or indirectly from events beyond its control, including but not limited to:
Acts of God (including floods, drought, earthquakes)
Pandemics, epidemics, or public health emergencies
Government actions, restrictions, or regulations
Strikes, civil unrest, terrorism, or war
Mechanical breakdowns or transport delays
Theft, loss, or damage to personal property
In the event of force majeure:
The contract shall be suspended for the duration of the event
No refunds shall be due for services already contracted or partially delivered
Clients may reschedule the safari to a future date (subject to supplier terms and rate adjustments)
Deposits paid are non-refundable, as they are committed to securing third-party services
Avadan Safaris Ltd reserves the right to modify, amend, or adjust itineraries where necessary for operational, safety, or client comfort reasons. This includes:
1.Substitution of accommodation
2.Alteration of routing or sequencing
3.Adjustment of activities due to weather, wildlife movement, or local conditions
Such changes shall not constitute grounds for refund where equivalent services are provided.
The company also reserves the right to engage subcontractors or third-party service providers for the delivery of all or part of the services.
All baggage and personal belongings are carried entirely at the client’s risk. Avadan Safaris Ltd shall not be held liable for loss, theft, or damage to luggage or personal effects.
Clients are strongly advised to obtain comprehensive travel insurance, including baggage cover.
A booking is confirmed upon receipt of a 30% non-refundable deposit of the total tour cost.
The balance payment is due 45 days prior to the commencement of the safari.
For bookings made within 15 days of travel, full payment is required at the time of confirmation.
All payments made via card are subject to a 3.5% processing fee.
All cancellations must be made in writing and will incur the following charges:
More than 60 days prior: 5% of total tour cost
60–30 days prior: 50% of total tour cost
30 days to no-show: 100% of total tour cost
Failure to commence the safari on the scheduled date shall be treated as a no-show, and no refunds will be issued.
Avadan Safaris Ltd reserves the right to cancel any booking where payments are not received in accordance with the above terms, and applicable cancellation charges shall apply.
Requests to amend or postpone travel are subject to availability and supplier conditions. While Avadan Safaris Ltd will make reasonable efforts to accommodate changes, any additional costs incurred will be borne by the client.
Postponements under force majeure conditions may be permitted, subject to third-party policies and potential rate revisions.
All rates are subject to change due to currency fluctuations, government taxes, park fee revisions, or supplier adjustments beyond our control. Confirmed bookings with deposits paid are protected against price increases unless such increases are mandated by external authorities.
These Terms & Conditions and any agreements arising hereunder shall be governed and construed in accordance with the Laws of Kenya. Any disputes shall be subject to the exclusive jurisdiction of the Kenyan courts.
Payment of a deposit or full amount towards a booking constitutes full acceptance of these Terms & Conditions by all persons named in the booking.
